Terms of Service

These Terms of Service (“Terms”) govern your use of QuotePilot, accessible at quotepilot.tech. By creating an account or using the service, you agree to these Terms. If you don’t agree, don’t use QuotePilot.

1. What QuotePilot Is

QuotePilot is a web-based tool that helps service businesses create, send, and manage quotes and proposals. It includes AI-assisted drafting features powered by third-party AI models.

2. Your Account

You must be at least 18 years old and capable of entering a binding agreement to use QuotePilot.

You are responsible for:

  • Keeping your password secure and not sharing your account with others.
  • All activity that occurs under your account.
  • Providing accurate information when you register and keeping it up to date.

If you believe your account has been compromised, contact us immediately at support@quotepilot.tech.

3. Acceptable Use

You may use QuotePilot for lawful business purposes. You may not:

  • Use QuotePilot for any illegal purpose or in violation of applicable laws.
  • Send spam, unsolicited communications, or misleading quotes to clients.
  • Upload or transmit malware, viruses, or other harmful code.
  • Attempt to reverse-engineer, scrape, or extract data from the platform in bulk.
  • Use QuotePilot to impersonate another person or business in a deceptive way.
  • Resell or sublicense access to QuotePilot without our written permission.

We reserve the right to suspend or terminate accounts that violate these rules.

4. Your Content

You own the content you create in QuotePilot — your quotes, client data, price lists, business information, and any other material you enter or upload. We do not claim any ownership over it.

By using QuotePilot, you grant us a limited license to store, process, and transmit your content solely to provide the service to you. We do not use your content for advertising or to train AI models.

You are responsible for ensuring that you have the right to enter any client data you input and that your quotes comply with applicable regulations in your industry.

5. AI-Generated Content

QuotePilot uses AI (via OpenAI’s API) to assist with drafting quotes and proposals. This is a drafting aid, not a finished product.

You are fully responsible for reviewing any AI-generated content before sending it to clients. AI can make mistakes — it may generate incorrect prices, misinterpret your instructions, or produce content that doesn’t reflect your business accurately. We are not liable for errors in AI-generated output that you send to clients without reviewing.

6. Payment and Billing

QuotePilot currently offers a free tier. If and when paid plans are introduced:

  • Paid plans are billed in advance on a recurring basis (monthly or annual).
  • You authorize us to charge your payment method on the billing cycle you select.
  • Refunds are not provided for partial months. If you cancel mid-cycle, your access continues until the end of the billing period.
  • We will give you reasonable advance notice before introducing or changing pricing.

7. Service Availability

We aim to keep QuotePilot available and working, but we don’t guarantee uninterrupted access. We may take the service down for maintenance, upgrades, or reasons outside our control.

QuotePilot is provided “as is.” We do not warrant that the service will be error-free, that data will never be lost, or that the service will meet every specific requirement you have.

8. Limitation of Liability

To the maximum extent permitted by law:

  • We are not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost data, or lost business opportunities.
  • Our total liability to you for any claims arising from your use of QuotePilot is limited to the amount you paid us in the 12 months preceding the claim, or $100, whichever is greater.

9. Indemnification

You agree to indemnify and hold us harmless from any claims, damages, or expenses (including reasonable legal fees) arising from your use of QuotePilot, your content, or your violation of these Terms.

10. Termination

You can stop using QuotePilot and delete your account at any time.

We may suspend or terminate your access if you violate these Terms, we are required to by law, or we decide to discontinue the service (with reasonable notice).

Upon termination, your right to use the service ends. We will delete your data per our Privacy Policy.

11. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we’ll notify you by email or via the app at least 14 days before the change takes effect. Continuing to use QuotePilot after that date means you accept the updated Terms.

12. Governing Law

These Terms are governed by the laws of the State of California, without regard to conflict of law principles.
